The challenge

Common ownership, completely different operations

The organization's companies were connected through common ownership, but they did not operate the same way. Traditional software offered isolated tools — never a single system that could support each company's specialized needs while giving leadership a clear picture of the organization as a whole.

The property & workspace business needed to manage

Specialized company dashboards

Every company gets a dedicated workspace designed around its own operations — no generic system that ignores how they actually work. A property manager sees leases, tenants, expenses, service requests, and upcoming expirations. A dispatcher sees active jobs, schedules, and installer assignments. A salesperson sees opportunities, customer activity, and project progress. Each team gets exactly what it needs, without noise from other companies.

Layer 02

Secure separation between companies

Companies share one platform, but their operational data stays separated. Owners and administrators manage access to their own teams; employees only see what their role requires. Role-based access spans group admin, company ownership and admin, management, sales, dispatch, field ops, property staff, tenants, and read-only viewing. Group ownership does not automatically expose every detail from every business — one platform, without sacrificing privacy or accountability.

Layer 03

A group-level intelligence layer

Above the company dashboards sits a secure executive workspace. It gives leadership the overall picture from approved summaries — revenue and operational trends, lease and contract expirations, open service issues, project backlogs, missing documents, scheduling pressure, financial exceptions, and items needing executive attention. Leadership can drill from the organization view into an authorized company workspace when more detail is needed: Organization → Company → Property, customer, project, or job.

AI that understands the business

An operational assistant, not a novelty

AI is built into the platform as an operational assistant rather than bolted on as a separate gimmick. Because the system understands the organization's structured information, permissions, documents, and workflows, it can genuinely help people make sense of the business:

  • Summarizing the current condition of a property or company
  • Flagging approaching lease and contract expirations
  • Highlighting incomplete paperwork
  • Detecting projects that may be falling behind
  • Explaining financial changes in plain language

Every AI response respects the same access rules as the rest of the platform. Users cannot use AI to retrieve information they wouldn't otherwise be authorized to see.
Connected information

Financial and operational data, brought together

The platform combines operational and financial information without replacing existing accounting systems. Read-only accounting connections surface current financials while protecting the source records from accidental changes — bringing together monthly revenue, rent and occupancy, operating expenses, project values, outstanding work, company performance, and budget comparisons.

Crucially, the platform distinguishes confirmed operational records from estimates, demonstrations, and incomplete data. Unknown values stay identified as unknown rather than being replaced with assumptions — giving leadership a view they can actually trust.

Document & compliance management

Important documents — leases, service agreements, customer and project paperwork, insurance certificates, safety documentation, completion records, internal approvals — are stored privately and connected to the records they support. The platform tracks required documents, flags missing items, and alerts on upcoming expirations. Instead of relying on staff to remember every deadline, it turns documents into active operational information.

Tenant & customer service

Secure external portals let tenants submit and track service requests and receive updates — without touching internal tools. The same model extends to customers, partners, and contractors, where each external user sees only the information tied to their authorized relationship.

Built to grow, secure by design

A foundation, not a one-time dashboard

New companies can be added without rebuilding the system — each with its own workflows, dashboard, roles, documents, integrations, AI tools, and reporting. Approved information feeds the group-level view while private operational data stays protected. Security and accountability are core architecture, not afterthoughts: secure authentication, role-based authorization, company- and property-level data isolation, private document storage, protected administrative actions, audit records for important changes, verified identity linking, safeguards against removing the final company owner, and read-only external integrations. Access is checked by the server on every protected request — the system doesn't rely on merely hiding buttons or pages.
